APPOINTMENT PROCEDURE GUIDELINES for the following series

 

Professor

Professor in Residence

Professor of Clinical ______

Acting Professor

Adjunct Professor (Academic Federation member, but follows these guidelines)

 

                                                                                                                                               

Appointment policies and procedures are located in section APM 220 and UCD APM 220A.  Please refer to the Delegation of Authority  to determine the appropriate review channels.

 

·       Prior to submitting a dossier for appointment, departments must follow the

Academic Recruitment Guidelines.  Refer to APM 500 and UCD 500

 

·       All proposed appointments which are reviewed by the Committee on Academic Personnel (CAP) are considered fast-tracked and a high priority.  However, CAP has the option to appoint an ad hoc committee if they choose.  Refer to  Delegation of Authority  

 

·       If the appointment is a Target of Excellence (TOE) or Partner Opportunity Program (POP) appointment, the position must be screened by Committee on Academic Planning and Budget Review (CAPBR) and the Committee on Academic Personnel (CAP) and approved by the Vice Provost prior to submitting a dossier for review. 

 

·       If the candidate is from an AAU University, the Dean must notify the Vice Provost as soon as possible in order to notify the other institution of the impending offer by the April 30 deadline.

·       If the candidate is transferring from another UC campus, the Dean must notify the Vice Provost as soon as possible in order to notify the other campus of the impending offer by the April 1 deadline.

·       Guidelines for preparing appointment dossiers are outlined in the Checklist for Appointments (PDF)

 

·       If the candidate will hold a joint appointment in two or more departments within the same college, or in different colleges, the home department prepares the dossier and coordinates the review with the other department(s).  Refer to  UCD 220 Procedure 3 and UCD Appendix II-A

 

·       If the candidate will hold both an Academic Senate and an Academic Federation appointment, follow both sets of guidelines below:

 

o      For Academic Senate titles:  refer to  APM 220 and UCD 220

o      For Academic Federation titles:  refer to  Academic Federation Call

o      Note:  For appointees holding Professorial and ____ in the AES (Agronomist series) appointments, the entire review is conducted by CAP

 

·       Extramural letters (five to eight) are required for all tenured and Assistant Professor, Step IV and Step V level appointments; reviewers must be suggested by both the department and the candidate.

If a department is hiring an Assistant Professor, Step I, II, or III and the candidate has recently received their Ph.D. (or the Ph.D. is pending), departments may not be able to suggest names of extramural reviewers because the candidate is not known nationally; in such cases, the department need only submit letters (three to five) from reviewers suggested by the candidate.

 

·       Transfers of FTE, or the addition of a without-salary appointment (within UCD) requires:

(a) recommendation letters with justification and a faculty vote from all departments involved

(b) signed Candidate’s Disclosure Certificate referring to each departmental letter

(c)   concurrence from dean

(d)  updated publication lists

 

·       An appointment “Via Change in Title” is considered a new appointment and requires departments to follow applicable procedures, outlined at the beginning of this document.
